What is a Pronotif notification/certified email?

Pronotif is an electronic notification service (online platform). Its system ensures secure and reliable transmission of legal documents and notices. Pronotif enables the sender to notify documents and notices, while providing technological confirmation that the content has been received, viewed or downloaded.

In the following decisions, the Housing Administrative Tribunal has recognized the validity of Pronotif.

All shipments via Pronotif instantly generate a Proof Report containing a verification audit of the transmission. The Report proves the transmission by clearly establishing, via timestamp and email server confirmation, the exact second the recipients received, opened and downloaded the email.

It is not necessary for the recipient to open the e-mail for delivery to be confirmed. In other words, as soon as the e-mail is successfully received by the recipient's mail server (i.e. is in the inbox), Pronotif captures the mail server's confirmation (the SMTP response) and records it in the Confirmation Report.

The Report complies with Quebec's new Code of Civil Procedure, as well as with the procedural rules of other Canadian provinces and certain U.S. states.

In summary, the Report indicates :
  • The name, nature and number of pages of the documents served.
  • Document integrity: this is a computer code that confirms to the recipient that the document has been transmitted without any alteration or intrusion during transfer.
  • The name and contact details of the sender and recipient.
  • Date and time (to the nearest second) when the e-mail was received.
  • Transmission result: Successfully transmitted, Opened, Downloaded, Bounced, Blocked, etc.
  • SMTP response: the response from the recipient's mail server confirming the status of the transmission.
